Every cleaning company says it delivers high standards. Very few can prove it. When a commercial client asks how you check quality, “our supervisors pop in” is not much of an answer. A clipboard audit that sits in a drawer is not much better.
Cleaning audit software turns quality checks into something you can measure, track and show your clients. This guide explains how it works, what to look for and how ProCleanerUK’s site assessments do it.
Why paper audits do not work
- They are not consistent: two supervisors will judge the same room differently without a clear scoring system.
- Nothing happens with the results: sheets get filed and forgotten, so the same problems come back.
- No trends: you cannot easily see which site, cleaner or task keeps failing.
- Clients never see them: so your quality checks win you no credit at contract renewal time.
How ProCleanerUK site assessments work
Build your checklist once
In the Form Builder, create a form and set its purpose to Site Assessment. Add each area and the items to check in it, for example Kitchen: Worktops, Sink, Floor; Toilets: Basins, Mirrors, Bins. You set the points and the pass mark, so the checklist matches your standards and your client’s specification.
Start an assessment on any job
Go to Site Assessments, press New Assessment and choose the form, the customer and the job. The site comes from the job address, and the score counts against the cleaners assigned to that job.
Rate, photograph and comment
Walk round the site and tap green, amber or red for each item. Add a photo or a comment wherever something is not right, so the cleaner knows exactly what to fix.
Get an instant score
Every area gets its own score, and the whole assessment gets an overall score. Anything below your pass mark shows in red, so problem sites stand out straight away.
Send the report
Press Download PDF for a tidy report with every rating, comment and photo, ready to send to your client or keep on file. You can also let clients see completed assessments, scores and photos on the job in their customer app.
Spot patterns, not just problems
The real value of audit software comes over time. Because every assessment is scored the same way, you can see which staff, sites and checklist items need attention. If the same washroom item fails at three sites, it is probably a training issue, not a one-off. If one cleaner’s scores drop, you can step in early. Our guide to staff training software covers how to act on what you find.
Audits plus proof of attendance
Quality checks are even stronger alongside proof that the clean happened when it should. Cleaners can clock in with GPS, geofencing or an NFC tag on site, take before and after photos and complete job checklists in the staff app, even without signal. Together, that gives commercial clients a complete picture: who was there, when, what they did and how well it was done. See our guide to NFC and offline GPS clock-in.
Use audits to win contracts
When you bid for commercial work, showing a sample site assessment report can set you apart from competitors who only talk about quality. Combine it with a ProCleanerUK tender pack, which brings your method statements, risk assessment, COSHH register, training records and insurance into one PDF, and you look like the professional choice. Read more about the cleaning tender pack.
If your work involves hazardous products, make sure your COSHH assessments are in order too. The HSE COSHH guidance explains what is required.

FAQs
What should a cleaning audit check?
Each area of the site and the specific items in it, such as worktops, floors, sinks, mirrors and bins, matched to the cleaning specification agreed with your client. Building the checklist around the contract makes the results meaningful.
How often should I audit a site?
Many companies audit commercial sites monthly, with extra checks for new contracts, new staff or after a complaint. Agree the frequency with your client so it can go into your contract.
Can my clients see the audit results?
Yes. Download a PDF report to send them, or switch on sharing so they can see assessments, scores and photos on the job in their customer app.
Can I use my own scoring system?
Yes. You set the items, the points and the pass mark in the form, so the scoring matches your standards.
Does it work without signal?
The staff app works offline for clock-in, checklists and photos. Assessments are best completed with a connection so photos upload straight away.
