Every cleaning software company says it has digital checklists, clock in and out, and photo uploads. Very few will tell you what happens when your cleaner loses signal.
The honest answer, for a lot of apps, is that nothing gets saved. The cleaner taps Clock In, the app spins, and the time either never arrives or arrives hours later with the wrong timestamp. The photos they took as proof of a job well done quietly disappear.
If your app only works with a perfect connection, it is not a time and attendance system. It is a guess. And for a cleaning business, a guess costs you money, customers and staff trust.
Cleaners work where the signal doesn’t
Office workers sit next to a router. Cleaners don’t. They spend their day in exactly the places phones struggle:
- Basements, plant rooms and underground car parks
- Blocks of flats with thick concrete walls and stairwells
- Hospitals, care homes and schools, where signal is patchy by design
- Rural holiday lets and farmhouses with one bar on a good day
- Large warehouses, factories and retail units with metal roofs
- Lifts, corridors and back-of-house areas in hotels
Then there is “lie-fi”: the phone shows a connection, but nothing actually gets through. That catches out apps that only check whether the phone thinks it is online.
If your team cleans commercial buildings, end of tenancy properties or rural lets, this isn’t an edge case. It is most of their day.
What actually goes wrong when the app needs signal
Wrong pay. A cleaner clocks in at 8:00 in a basement. The app can’t reach the server, so the clock-in only lands when they walk outside at 10:00. Your payroll now says they started two hours late. Either you underpay them, or someone spends Friday afternoon fixing timesheets by hand.
Lost proof of work. Before and after photos are your best defence in a complaint. If the upload fails with no signal and the app clears the photos anyway, the evidence is gone. The customer says the oven wasn’t cleaned, and you have nothing to show them.
Breaks that don’t add up. If break times are stamped when they sync rather than when they were taken, a 30 minute break can look like 3 hours, or like no break at all.
Checklists that vanish. A cleaner ticks 40 items, presses save, gets an error, and gives up. The job looks incomplete, and the cleaner looks like they cut corners.
Staff stop trusting the system. Once a cleaner has lost a clock-in or a set of photos, they go back to texting you their hours. At that point you are paying for software nobody uses.
How ProCleanerUK works with no signal
We built the ProCleanerUK staff app on one rule: if the cleaner tapped it, it counts, signal or not. Everything is saved on the phone first, then sent to your office the moment the phone reconnects.
| What the cleaner does | Works offline | What gets recorded |
|---|---|---|
| Job clock in and clock out | Yes | The time they tapped, not the time it synced |
| NFC tag clock in | Yes | The time they tapped the tag |
| Daily clock in and clock out | Yes | The time they tapped, with GPS |
| Start and end break | Yes | The real break times |
| Digital checklists and notes | Yes | Every tick and note, saved on the phone |
| Before and after photos | Yes | Stored on the phone, uploaded automatically later |
| Job completion and stock returns | Yes | Saved and synced in the right order |
| Comments and “running late” alerts | Yes | Sent as soon as there is signal |
A few things make the difference in practice:
- It survives the app being closed. If the cleaner swipes the app away or the phone dies, nothing is lost. It syncs next time they open it.
- It syncs on its own. No buttons to press. When the signal comes back, the app catches up in the background and in the right order, so a clock out is never sent before its clock in.
- It handles patchy signal. If a save fails halfway, the app treats it as offline and keeps it, rather than showing an error and dropping it.
- Photos are kept safe. Offline photos are stored on the phone and uploaded once there is signal, each one attached to the right job.
- Nothing fails silently. If something genuinely can’t be saved, the cleaner is told straight away so they can redo it, instead of finding out on payday.
- It is honest about time. Offline times are trusted for up to 48 hours, which covers any real day without signal while rejecting times that are days old or set in the future.
Five questions to ask any software provider
Don’t take “works offline” on trust. Ask these, then test it yourself in airplane mode before you sign up.
- If my cleaner clocks in with no signal, is the time recorded as when they tapped or when it synced?
- Do breaks and daily attendance keep their real times offline too, or just job clock-ins?
- Where are offline photos stored, and what happens to them if the app is closed before signal returns?
- Can a checklist be completed and saved fully offline, including notes?
- If something fails to sync, does the cleaner get told, or does it just disappear?
The test takes five minutes. Put a phone in airplane mode, clock in, take a break, tick a checklist and take two photos. Close the app, wait, turn signal back on and check what arrived and with which times. If anything is missing or stamped with the wrong time, you have your answer.
Try it in airplane mode yourself
ProCleanerUK is built for UK cleaning companies whose teams work in real buildings, not offices with perfect Wi-Fi. Clock in, breaks, checklists and photos all keep working when the signal doesn’t, and your timesheets stay right.
